Documentation Specialist / Senior Documentation Specialist

At Geltor we design award-winning ingredients for the world's biggest consumer product companies. Geltor is looking for a Documentation Specialist/Senior Documentation Specialist to join our Operations group in San Leandro, CA.

We are currently seeking a qualified, highly motivated, experienced individual for the position of Senior Documentation Specialist. A successful candidate will be responsible for performing document control functions and supporting quality systems. This individual must possess a basic understanding of working in cGMP/pharmaceutical environment. The position will be focused in the administrative activities associated to the documentation process at Geltor; therefore, administrative skills, such as knowledge of computer software (e.g. Excel®, Smartsheets) are required.

Key responsibilities:

- Perform document control functions, tracking, processing, review, distribution, and archiving of documents.

- Organize and create the electronic filing system

- Support the implementation of the future state e-system for document control systems (SafetyChain Food Safety & Quality Software, Jolt, FoodLogiQ etc).

- Provide technical expertise relative to Hazard Analysis and Critical Control Points (HACCP) and food safety evaluations.

- Manage, monitor, and investigate reported claims and deviations.

- Coordinate all systems, programs related to the internal and external audits: Safe Quality Food Level 3 certification and/ or any other GFSI audit

- Food Safety Modernization Act record review.

- Non- GMO Program.

- Kosher/Halal Program

- Examine and qualify potential suppliers’ ingredient proposals.

- Collaborate with the cross-functional divisions in heightening the internal food quality program and suppliers’ performance.

- Lead by example, champion Geltor, and uphold company values


- Bachelor’s degree in a scientific discipline or similar field

- 4+ years of hands on experience in a pharmaceutical product development/GMP QA function.

- Ability to maintain attention to detail, prioritize work and handle multiple assignments in a fast-paced environment with changing priorities

- Prior experience with food safety software systems such as SafetyChain, FoodlogiQ. or similar programs

- Strong experience with Excel and Smartsheets

- Strong organizational skills with the ability to effectively prioritize and complete high quality projects amidst tight timelines and competing deadlines; exceptional attention to detail

- Excellent interpersonal and communication skills with the ability to discuss complex technical concepts with a variety of audiences
